Writing effective emails for professional needs should start with a powerful subject line.

Before we start, can you guess how many emails a business person receives in a day? Dozens or even hundreds. But  how many of them are opened and not deleted? You probably know that spam filters are sensitive to certain words, or strings of characters such as $$$ (or £££, or other currency symbols), and send such emails straight to the spam folder.

So if you want your reader to open and read your email, it needs a subject line that is clear and shortand catches the reader's attention.

CLEAR. To keep your subject line clear, include key words related to your topic in the subject line, starting with the most important words (e.g., Conference Call Tomorrow).

SHORT. Now let's consider the body of an effective professional email.

The email body is the most important part of your letter, the message that you send to the reader. It should consist of three parts:

  • the introduction, which should include information about you and the controlling idea (who is writing: the name, position, or organization; and what the email is about: the purpose of your email); 
  • the development, which should consist of answers to WH-questions (the details: what you offer, how often you will be supplying your product, where/when you would like to meet, etc.);

Your subject line should tell your readers that this introduction will be good for them professionally:

Your controlling idea can look like this:
